About the role
Inventory Control Clerk – Eco House
About Us
Eco House supplies HVAC equipment and manufactures pleated air filters locally to support clean, efficient indoor air across the Cayman Islands. We’re looking for a detail-oriented Inventory Control Clerk to keep our stock accurate, our costs clear, and our shipments moving.
The Role
The Inventory Control Clerk manages inventory for imported HVAC equipment and parts, plus the raw materials and finished goods for our locally manufactured pleated air filters. You’ll handle items from customs clearance through to the warehouse shelf, calculate accurate landed costs, and keep stock records current every day.
Key Responsibilities
- Inventory Management
- Enter and update daily stock quantities for receipts, issues, sales, transfers and production output
- Maintain accurate records in the inventory system, including item codes, units of measure, bin locations and serial numbers
- Run regular cycle counts and full physical stock takes, then investigate and reconcile discrepancies
- Monitor stock levels, set reorder points, and flag low stock, overstock and slow-moving or obsolete items
- Track raw materials for filter production (filter media, frames, wire mesh, adhesives, packaging) and record finished-goods output
Imports & Customs
- Coordinate shipments with suppliers, freight forwarders and customs brokers
- Prepare and check import documents (commercial invoices, packing lists, bills of lading, airway bills) and clear goods through Customs and Border Control
- Verify tariff classifications and ensure duties and fees are correctly assessed and paid
- Track inbound shipments and keep management updated on expected arrival dates and delays
Costing
- Calculate landed cost per item, including purchase price, freight, insurance, import duty, broker fees, port and handling charges, and local delivery
- Update item costs in the system and support accurate pricing and margin reporting
- Maintain cost records and reconcile them against supplier invoices and customs entries
Receiving & Warehouse
- Receive and inspect incoming goods against purchase orders and packing lists, and report shortages, damage or errors
- Keep the storeroom organised, labelled and safe
- Process stock issues to technicians, production and sales, and record returns and warranty items
Reporting & Support
- Produce regular inventory reports: stock on hand, valuation, usage, variances and aging
- Work with purchasing, accounts, production, sales and service teams to plan demand
- Support month-end and year-end inventory closing and audits
Requirements
- 5+ years’ experience in inventory control, stores or warehouse administration
- Hands-on experience clearing goods through customs and working with import documentation
- Proven ability to calculate landed costs accurately
- Strong numeracy and attention to detail
- Proficiency in Microsoft Excel (formulas, lookups, pivot tables) and inventory or ERP software (e.g. QuickBooks, Sage, NetSuite, or similar)
- Good organisational, time-management and communication skills
- Ability to work independently and meet deadlines
Preferred
- Knowledge of HVAC equipment, parts or building supplies
- Experience with inventory in a manufacturing or production setting
- Familiarity with local customs procedures and the CBC online declaration system
- Valid driver’s licence; forklift certification is a plus
- Ability to lift up to 50 lbs and work in a warehouse environment
